This Privacy Policy explains how Gated Greens ("Gated Greens," "we," "us," or "our") collects, uses, shares, and protects personal information when you use gatedgreens.com and our related applications and services (the "Platform"). It applies to Members, Guests, and visitors in our operating states — Ohio, Michigan, Indiana, Illinois, and Kentucky — and is written to meet our obligations under laws including the Indiana Consumer Data Protection Act (ICDPA) and the Kentucky Consumer Data Protection Act (KCDPA) (both effective January 1, 2026), the Ohio data-breach notification law, and the Illinois Biometric Information Privacy Act (BIPA).

By using the Platform you agree to this Policy. If you do not agree, do not use the Platform.

1. Information We Collect

We collect information you provide, information generated by your use, and information from trusted third parties used to verify you.

Information you provide

  • Account & profile: name, email, phone, password, date of birth, photo, and biographical details.
  • Verification data: government-issued ID and the results of identity verification, background-check results, and your verification status. We confirm you are 21 or older and do not collect more than we need.
  • Golf data: your GHIN number and handicap, accessed with your consent.
  • Professional data: professional/LinkedIn information used only to confirm your identity — never to score, rank, or price you.
  • Personality assessment: if you choose to complete it, your assessment responses and results, used for matching and not publicly displayed.
  • Payment data: handled by our payment processor (we do not store full card numbers — see Section 5).
  • Content: messages, reviews, AI-assisted bios you approve, support requests, and anything else you submit.

Information collected automatically

  • Device, browser, IP address, approximate location, pages viewed, and actions taken, collected through cookies and similar technologies and our analytics provider.
  • Booking, transaction, and communication history on the Platform.

Biometric note (Illinois). We do not collect, capture, or store biometric identifiers (such as faceprints) as defined by BIPA. Identity verification is performed by our third-party provider under its own terms; we receive a pass/fail result and identity attributes, not biometric templates.

2. How We Use Your Information

We use personal information to:

  • Create and manage your account and provide the Platform.
  • Verify identity, age, eligibility, and trustworthiness and apply graduated access.
  • Match Guests and Hosts and facilitate bookings, payments, and payouts.
  • Enforce Host anonymity — hiding a Host's identifying details from Guests until payment is confirmed and any required post-booking step is complete (see Section 6).
  • Process payments and prevent fraud and abuse.
  • Communicate with you about bookings, security, and (with your consent where required) marketing.
  • Improve and secure the Platform through analytics and error monitoring.
  • Comply with legal obligations and enforce our Terms of Service.

We apply standardized, non-discriminatory criteria in vetting and do not use protected characteristics, professional status, or social-network data to score or rank you.

3. Cookies and Analytics

We use cookies and similar technologies for authentication, security, preferences, and analytics. Our analytics provider may set identifiers to understand product usage; we apply a personal-information denylist so that sensitive fields are excluded from analytics events. You can control cookies through your browser settings; some features may not work without them.

4. How We Share Information

We do not sell your personal information. We share it only as described here:

Between users. We share limited profile and trust information between Guests and Hosts as needed to coordinate an Experience, subject to our Host-anonymity rules (Section 6).

Legal and safety. We may disclose information to comply with law, respond to lawful requests, enforce our Terms, or protect the rights, property, or safety of users, clubs, the public, or Gated Greens.

Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

5. Payment Information

Payments are processed by Stripe. Stripe collects and stores your full payment-card and bank details directly under its own privacy policy; Gated Greens receives only limited transaction information (such as confirmation, amounts, and the last digits of a card). We do not store full card numbers.

6. Host Anonymity and Your Visibility

Host privacy is built into the Platform. A Host's real name, photograph, contact details, and biography are withheld from a Guest until both the Guest's payment is confirmed and any required post-booking profile step is complete. Reviews are anonymized so host names do not appear in review text. The only exception is our Network Experience Discovery feature, where both parties expressly opt in to mutual visibility.

7. Your Privacy Rights

Depending on your state, you may have the right to:

  • Access the personal information we hold about you;
  • Correct inaccurate information;
  • Delete your personal information;
  • Obtain a portable copy of certain information;
  • Opt out of targeted advertising, sale of personal data (we do not sell), or certain profiling; and
  • Appeal a decision we make about your request.

To exercise these rights, email support@gatedgreens.com or use the account-deletion option in your settings. We will verify your request and respond within the time required by law (generally 45 days, with one permitted extension). We will not discriminate against you for exercising your rights. If we decline a request, you may appeal by replying to our decision; if your appeal is denied, you may contact your state Attorney General.

8. Data Retention

We keep personal information only as long as needed to provide the Platform, comply with legal, tax, accounting, and safety obligations, resolve disputes, and enforce our agreements. Verification and transaction records may be retained for the periods required by law and our risk and fraud-prevention needs. When information is no longer needed, we delete or de-identify it.

9. Data Security and Breach Notification

We protect personal information using encryption in transit and at rest, access controls, and monitoring. No system is perfectly secure, so we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify affected users and regulators as required by applicable law, including Ohio's notification deadlines and the requirements of the other states we serve.

10. Children's Privacy

The Platform is for adults 21 and older. We do not knowingly collect information from anyone under 21. If we learn we have collected such information, we will delete it.

11. Changes to This Policy

We may update this Policy from time to time. We will post the updated Policy with a new "Last Updated" date and, for material changes, provide reasonable notice. Your continued use of the Platform after changes take effect constitutes acceptance.
